Hold a ground lesson over Zoom or Google Meet

Choose Video call on a ground lesson: paste a Zoom or Meet link, or have a Google Meet made for you. A lesson with a call needs no room, and everyone on it gets a Join button.

For owners, admins, dispatchers, instructors and students

Book the lesson as Ground, then set Video call: paste a Zoom, Meet, or Teams link, or choose Add Google Meet to have one made. With a call, the Room can be No room. Everyone on the booking sees a Join button, and the link goes into their calendars too.

Add a video call when you book#

1

Start a Ground booking

On WebCalendar → New reservation, or the + button in the app, set Type to Ground. The Video call row appears under Room. Only ground lessons offer it.

2

Choose the call

  • Paste a link: any https link works, Zoom, Google Meet, Microsoft Teams, Webex. A link copied without https:// (for example zoom.us/j/845...) is fixed for you.
  • Add Google Meet: a Meet is made on your own Google Calendar when you save. It needs Google Calendar connected first, see below.
  • No video call: an ordinary classroom lesson.
3

Pick a room, or none

With a call set, Room offers No room and the location becomes optional: the lesson happens over the call. Pick a room as well if some students are coming in person.

4

Save

The booking shows a Video call row with Join Zoom (or Join Google Meet) on the web, and a Join button under When in the app, which opens the Zoom or Meet app if it is installed.

Add Google Meet uses the Google Calendar connection you may already have for syncing your schedule. Connect it under WebProfile & account → Calendar on the web, or AppSettings → Calendars in the app. No extra Google permission is asked for. The Meet belongs to the person who booked it, so they are its host.

Change or remove the call#

Edit the booking. Video call opens on the current link (for example "Zoom (current link)"). Pick Paste a link to replace it, Add Google Meet to make a new one, or No video call to remove it. Removing the call from a lesson with No room asks for a room again, because a ground lesson has to happen somewhere.

  • Calendars. Google Calendar sync and the Apple Calendar or Outlook subscription both put "Join Zoom: ..." at the top of the event, and use the link as the event's location when the lesson has no room. See Sync your schedule to your calendar.
  • The schedule. A lesson with no room sits in the bottom lane of the dispatch board, labelled Video calls when that is all the lane holds.
  • Close-out. Unchanged: press Review times and record the instruction time. See Close out a ground lesson.

Common questions

Do I still need to book a classroom?
No. Once a ground lesson has a video call, the Room field offers No room. Pick a room as well if some students are coming in person.
Why is Add Google Meet greyed out?
The meeting is made on your own Google Calendar, so it needs Google Calendar connected first, under Profile & account, Calendar on the web. Until then you can paste any Meet link.
Does the link show up in students' calendars?
Yes. The Google Calendar sync and the Apple Calendar or Outlook subscription both carry the link, and it becomes the event's location when the lesson has no room.
