How much of the schedule guests and members see
Calendar visibility under Booking offerings sets how much of the schedule each audience sees when picking a time. It does not change the staff Calendar. Open slots only is the usual guest setting.
For owners and admins
Under Settings → Booking offerings, Calendar visibility sets how much of the schedule each audience sees when they pick a time on a public /book page or an offering. It does not change the staff Calendar. Owners, admins, and dispatchers always see the full board.
This is not the dispatch board#
WebCalendar is still the shared school board. Members who can open it still see bookings with names, as Who can book, edit and cancel describes.
Calendar visibility applies when someone is choosing a start time:
- a guest on a public
/book/{slug}/{offering}page - a signed-in member looking up times on an offering
Owners, admins, and dispatchers are not in this list. Desk staff always get full detail.
WebSettings → Booking offerings, in Calendar visibility. Each audience has its own dropdown. A change saves as soon as you pick an option.
The four options#
Open slots only. They see times they can book. Occupied times are simply missing, and nobody else's name is shown. If the offering lets them pick an aircraft, those free times still include the tail so they can choose it. This is the usual setting for guests.
Blocked, no names. Busy times stay anonymous: no who, no tail. On the public guest page those times are omitted rather than drawn as a named flight, so this often looks the same as Open slots only for guests.
Own bookings named. They can see their own flights by name. Everyone else stays anonymous. If the offering lets them pick an aircraft, a free time can include the tail.
Full schedule. Names and tails, closest to what the front desk sees. Use this only for people you trust with the whole board. Guests almost never need this.
Who each dropdown is for#
Guests (public booking). People with no account on a public /book link. Leave this on Open slots only unless an offering lets them choose a specific tail and you want that tail on the free times.
Students, Renters, Instructors. Signed-in members with that role, when they pick times on an offering. This does not change what they see when they open Calendar.
Other members. Signed-in people who are not student, renter, or instructor. Desk staff are never this audience.
What guests actually see today#
The public page lists open start times. It does not paint other people's bookings with names, even on Full schedule. Occupied times are left off the list.
If the offering lets the requester pick an aircraft, each free time includes the tail even on Open slots only. Without that toggle, Open slots only and Blocked, no names keep tails hidden.

Common questions
- Does this hide names on the staff Calendar?
- No. Owners, admins, and dispatchers always see the full board. These dropdowns only apply when someone is picking a time on a public /book page or an offering.
- What should guests be set to?
- Open slots only. They see times they can request, not who is already flying. Occupied times are omitted rather than shown as a named flight.
- Why do Open slots only and Blocked, no names look the same on the public page?
- The public page lists open start times. Occupied times are left off either way, so guests do not see a named busy block. If the offering lets them pick an aircraft, those free times include the tail even on Open slots only.
