Sell prepaid blocks with a bonus

Block time: members pay up front and get extra credit, for example pay 1,700 and get 1,800. Set up blocks, let members buy them by card, sell them at the desk, and how refunds treat the bonus.

For owners, admins, students and renters

A prepaid block is block time sold at a bonus: the member pays up front and gets more credit on their account, for example pay 1,700 and get 1,800. Set blocks up under WebSettings → Billing → Prepaid blocks. Members buy them from Add funds, and the desk can sell one from the member's Ledger. The bonus is never refundable.

Prepaid blocks need Account ledger: a block is credit on the member's balance, and every flight draws it down.

Set up a block#

1

Open Settings, then Billing

The Prepaid blocks card sits under the account ledger cards.

2

Click Add block

Give it a name members will recognize, such as "10-hour block", and an optional description.

3

Enter what the member pays and the credit it adds

Member pays 1,700.00, Credit added 1,800.00. The card shows the bonus as you type: +100.00 (5.9% extra). The credit can't be less than the price.

4

Save

The block is offered to members straight away. Turn its switch off to stop offering it for a while, or archive it to retire it. Archived blocks keep their history and can be restored.

Owners and admins manage blocks. Changing a block's price or credit never changes what earlier buyers got.

How members buy one#

On WebBilling in the console, or Add funds in the app, the member picks a block instead of typing an amount and pays by card. If your organization adds a card fee to top-ups, it applies to the block's price.

When the payment goes through, the ledger shows two rows:

RowTypeAmount
Block purchase: 10-hour blockTop-up+1,700.00
Block bonus: 10-hour blockBlock bonus+100.00

Sell one at the desk#

For cash, a check or a bank transfer: open the member under WebPeople, go to Ledger, and click Sell a block. Pick the block, how they paid (Cash, Check or Other) and an optional note such as a check number, then confirm. The payment and the bonus post together.

Refunds and the bonus#

  • Bonus is used last. Flights draw down the paid part of a balance first. Whatever is left after that is bonus.
  • A refund can return up to the balance minus the unspent bonus. The Refund dialog shows how much that is, and how much is bonus.
  • A refund of everything paid closes the account. If a refund leaves nothing but bonus, the bonus is removed in the same step, as a "Block bonus removed with refund" row.
  • A desk sale recorded by mistake can be reversed. On the member's Ledger, click Reverse on the block's payment row. The payment and its bonus both come off. A block bought by card is paid back with Refund instead, and once a refund has been posted after the sale it can no longer be reversed (that would pay the member back twice).

What blocks are not#

  • They don't lock in rates. A block is money on the account; each flight is charged at the rates on the day it is flown.
  • The bonus doesn't expire on its own. If your terms say it lapses, click Remove on the member's Block bonus row when it does. Don't use an Adjustment for this: the bonus would still count as unspent and hold back that much from a later refund.
  • They are separate from membership dues and from package prices on a booking.

Common questions

Can a member get the bonus back as cash?
No. The bonus is credit to fly with. A refund can return what the member paid, never the bonus, and a refund that leaves only bonus on the account removes it.
Does the bonus expire?
Not in AerScheduler. If your organization's terms say it does, remove it with a ledger adjustment when it lapses.
Do blocks lock in today's rates?
No. A block adds money to the account, and each flight is charged at the rates on the day it is flown.
