Choose your billing currency
Bill in US, Canadian, Australian or New Zealand dollars, British pounds or euros. Set from your Stripe account when you connect, changeable by the owner until the first bill, then fixed.
For owners
Your organization bills in one currency: US, Canadian, Australian or New Zealand dollars, British pounds, or euros. It is set from your Stripe account when you connect payouts. The owner can change it under WebSettings → Billing → Currency until anyone has been billed, and then it is fixed.
Where it comes from#
When you connect Stripe under WebSettings → Billing → Payouts, AerScheduler starts billing in your Stripe account's own currency, as long as nobody has been billed yet and you have not already picked one. A school whose Stripe account pays out in Australian dollars bills in Australian dollars without doing anything else.
Before you connect, every new organization starts in US dollars.
Change it#
Open Settings, then Billing
The Currency card sits under Payouts.
Pick the currency
The change saves straight away. Every price, rate, invoice and balance in the console and the app now reads in that currency.
Only the organization owner can change it. Admins see the card but cannot edit it.
When it stops changing#
The currency is fixed as soon as money moves: the first invoice, the first account ledger entry, or the first card payment a member starts. From then on the card is greyed out and says why. Every amount you have recorded is a number in that currency, so changing it later would reprice everything already billed and turn account balances into a mix of two currencies.
If it was set wrong, contact support before you bill anyone else.
If Stripe pays out in a different currency#
You can bill in a currency other than your Stripe account's. Settings shows a note when they differ. Stripe then converts every payment into your payout currency and charges you for the conversion, and your members may see a foreign transaction fee on their card. Billing in your payout currency avoids both.
What uses it#
- Invoices, receipts, statements and the emails about them
- Account ledger balances, top-ups, refunds, late fees and auto-refill
- Rates, fees, membership dues, course fees, package prices and work orders
- Reports and their CSV and PDF exports, which name the currency in each money column
- Your public booking pages
- QuickBooks: AerScheduler only posts to a QuickBooks company whose home currency matches
Amounts are always written with a point for the decimals and commas for thousands, for example £1,234.56.
Your AerScheduler plan itself is priced and billed in US dollars.
Common questions
- Can I change the currency after I have billed people?
- No. Every amount on an invoice or an account balance is stored as a number in your currency, so changing it would reprice everything already billed. Contact support if it was set wrong.
- My Stripe account pays out in a different currency. Does that matter?
- It works, but Stripe converts every payment and charges for the conversion. Settings shows a note when the two differ. Billing in your payout currency avoids it.
- What does my AerScheduler subscription cost in my currency?
- Your AerScheduler plan is priced and billed in US dollars, whatever your members are billed in.
