# Your profile, photo, appearance, PIN and time zone

> Your details and profile photo, light or dark appearance, the PIN you sign close-outs with, and why the schedule shows airport time rather than the time on your phone.

Section: Getting started. For: Owners, Admins, Dispatchers, Instructors, Students, Renters, Technicians.

`You → Profile` (web console), then the tab you need: **Profile**, **Security**,
**Calendar**, **Availability** (instructors only) or **Payment methods**. Your PIN is under
Security. Appearance and time zone are on the Profile tab.

## What is yours and what belongs to the school

Your account is global: name, email and password follow you everywhere. Appearance
is saved on this device. Your photo, your roles, your identifier, your membership plan and
your notification preferences belong to your membership of one organization.

That is why changing your name changes it everywhere, and why turning off reservation email
at one school leaves it on at the other.

## The tabs

| Tab | What is on it |
| --------------- | --------------------------------------------------------------------------------------------------------- |
| Profile | Name and photo, your membership plan, contact details, emergency contacts, appearance, and your time zone |
| Security | Your password, and the PIN you sign close-outs with |
| Calendar | Connect Google Calendar so your bookings appear in it |
| Availability | Your teaching hours. Instructors only |
| Payment methods | Saved cards, your default card, and autopay |

Old links to `/me/availability` and `/me/payment-methods` still work and land on the right
tab.

## Your photo

Your photo is the picture beside your name on the schedule, the People list, and in Messages.

- **On the web:** on the **Profile** tab, click your picture (or your initials) and choose a
photo. Click it again to upload a different one or remove it.
- **On the app:** `Profile → gear menu` (mobile app), then **Add photo**,
  **Change photo** or **Remove photo**.

Use a JPG, PNG, WebP or GIF. Large photos are shrunk before they upload, so a picture straight
from your phone is fine.

Owners and admins can set or remove the photo for anyone in the organization, from that
person's page in People. On the web, click the picture at the top of their page; on the app,
use the gear menu. Nobody else can change your photo.

Because the photo belongs to your membership, a photo set at one organization does not appear
at another.

## Appearance

On the **Profile** tab, find **Appearance** and choose:

- **Light** to keep the console light.
- **Dark** to keep the console dark.
- **System** to follow this device's appearance setting.

The choice is saved in this browser, so another browser or device can use a different
appearance. System changes automatically when the device switches between light and dark.

## Your PIN

Your PIN is how you sign off a flight at close-out. Set it, or change it, from the
**Security** tab. The button reads **Set PIN** until you have one, and **Update PIN**
afterwards.

An invoice is raised when the last person on a booking signs off, so a school where nobody
has set a PIN is a school where nothing gets billed. Full detail in
[Sign off a flight with your PIN](https://www.aerscheduler.com/docs/scheduling/sign-off-with-your-pin).

## Time zone: two settings, two owners

This is the part people write in about, so it is worth thirty seconds.

**The school's time zone** is set by an admin on
`Settings → School → Organization → Time zone` (web console), under "Where you fly
from". It decides what time a 9am lesson actually is, and it is the zone your booking emails
and push notifications are stamped in.

**Your time zone** is on your Profile tab, and it is two separate choices:

1. Which zone is yours: follow this device, or pin one.
2. Whether the schedule is drawn in **airport time** or in yours.

![Profile, My time zone](https://www.aerscheduler.com/docs/profile-time-zone-card.png)

> **Important:** Neither setting ever moves anybody's booking. They change the clock you read the schedule
> against, nothing else. A 9am lesson is 9am at the airport whichever way you set this.

Airport time is the recommended option, and it is what you get by default once the school
has set a zone. It is the right answer for almost everybody: the aircraft is at the airport,
and so is the instructor.

Pin a zone instead if you are away and want the schedule to read in local time while you are
travelling.

> **Note:** If the school has never set a zone, the schedule falls back to each person's own device
> zone, which means two people can genuinely see different times for the same booking. It also
> blocks multi-day bookings, which cannot be turned on until time zones are configured.

More on how times are drawn and reported in
[Airport time and time zones](https://www.aerscheduler.com/docs/scheduling/airport-time-and-time-zones).

## Google Calendar

The **Calendar** tab connects your own Google Calendar so your bookings show up there. It is
a personal connection, not a school-wide one, so each person connects their own. Once
connected you can choose which of your Google calendars the flights land on, and disconnect
whenever you like. See
[Sync your personal calendar](https://www.aerscheduler.com/docs/scheduling/sync-your-personal-calendar).

Each event is titled with the aircraft (or simulator / room) and the booking type, for
example `N172SP · Solo`, so a glance on your phone is enough to know which plane you are
on. The event location is the airport address from the booking, which lets Apple Calendar
and Google Maps offer travel-time suggestions. The description lists who is on the
booking and any notes you saved.

## Availability, for instructors

The **Availability** tab only exists if you hold the instructor role. It is your teaching
hours, day by day, with the days you do not teach showing as Unavailable. See
[Set your weekly availability](https://www.aerscheduler.com/docs/scheduling/set-your-weekly-availability).

## Payment methods

Save a card, set a default, and turn on autopay so new invoices are charged without you
doing anything. See
[Pay an invoice and save a card](https://www.aerscheduler.com/docs/billing/pay-an-invoice-and-save-a-card).
